DISTRICT KEY REQUEST PROCEDURE

An employee must complete a key request form for each key requested. Key request forms are available at all campus College Police business offices. Keys may not be added to a previously approved key request form. All forms must be completed in its entirety, signed by the requesting employee, signed by the employee’s department Dean and the campus’ VP of Administrative Services. The signature process takes approximately 5-7 business days.

Should the requested room be alarmed an alarm code must be requested and issued before a key to the requested room can be issued. Alarm codes are requested through a campus College Police business office upon receipt of an approved key request form. The College Police Dispatch Center issues the code(s) 1-2 weeks from the alarm request date. The alarm code will arrive in the requesting employee’s campus mail box in a confidential envelope.

Keys are obtained from the campus College Police office during business hours. The requesting employee must pick up his or her own key(s), provide photo identification and sign out for the key(s). Keys and alarm codes are not to be loaned or transferred to other employees.

RETURNING KEYS

Employees are required to return keys upon separation from service, change of work assignment, when keys previously reported lost or stolen are found, or when access to the keyed area is no longer needed. Keys can be returned to any College Police office for return to the issuing campus.

LOST DISTRICT KEYS

An employee must complete a Lost/ Stolen Key form when reporting lost or stolen keys. The employee obtains replacement keys by completing another key request form and obtaining the appropriate signatures again. No action need be taken in regards to the alarm code. Employees who subsequently find keys reported missing are required to return the keys to College Police.
